Charter

Scope

This charter establishes the Collaboration Portfolio Advisory Group (CPAG) as a campus advisory body to support the planning for what is beyond Skype for Business and related collaboration technologies with reporting obligations to IT Council.

Purpose

The purpose of CPAG is to gather campus perspectives and requirements that will help shape the future of the collaboration technology portfolio intended to support the entire campus workforce. CPAG will also explore and identify where features overlap amongst technologies current in use. Finally, CPAG will promote campus awareness of these finds and subsequent engagement to support decision making.

Goals

The deliverables of CPAG are defined by the following goals:

  • Define what is collaboration to establish scope.
  • Showcase existing technology solutions that promote workforce collaboration and create awareness of their future viability. Summarize features, use cases, and overlapping capabilities amongst these solutions.
  • Capture current and emerging campus requirements that will shape the future of this portfolio through a series of facilitated discussions. Identify use cases that drive these requirements including work-from-home and online instruction.
  • Summarize and document these findings to ensure these ideas influence the future of this portfolio. Promote awareness of these findings and seek further feedback to finalize what has been captured.
  • Based upon this feedback, develop recommendations for a collaboration technology strategy and suite of tools that will be sought and supported.
  • Govern the transition between the current and future environments.

Coordination

  • CPAG will draw upon other efforts such as the Business IT initiative to further capture campus requirements.
  • CPAG will provide feedback and input to the Collaborations Portfolio Steering Team (CPST) on at least a monthly basis. This group will coordinate and provide oversight to projects related to this portfolio.
  • CPAG will communicate project updates to campus as defined by the established project communications plan.
  • CPAG will provide information, updates, and status to IT Council and other appropriate campus forums on at least a semester basis.

Membership

CPAG should be composed of a diverse group of participants that can help to ensure that the broadest range of perspectives and needs are represented. The CIO will formally charter this group and select the chair. Membership will consist of participants from three different groups:

  • non-IT staff who are active practitioners of collaboration technology and leverage these tools to actively promote communities
  • faculty who seek to leverage this technology to support the student experience
  • IT staff who are familiar with these technologies (no more than 25% of the membership)

Meetings

This group will meet at least monthly at a time determined by the membership for the duration of the planning effort.
