Presenter Information

Given the virtual nature of this conference, we have some specific instructions for all presenters. Please read the information below and follow the guidance specified.

About the talks

Oral Presentations

    • Total length of 15 minutes including time for questions
    • Recommend about 12 minutes of talk and 3 minutes for questions
    • Virtual presenter will share their screen using the presentation format of their choice.
    • Presentation slides should be at 16:9 widescreen resolution.
    • Save presentation slides as LastName_FirstName (e.g., Smith_Jane.pdf).
    • All presenters must upload a copy of their slides as a backup in case of technical issues to the ECEC24 box folder.
    • Please consider limiting the amount of general background information provided in your presentation, as other presenters may be covering the same topic. Feel free to use your time to present background information that is specifically relevant to your presentation.
    • Practice your presentation! Make sure it is within the time limit. Because we have a tight schedule, you will be cut off, muted, and lose control of slides if still talking after 15 minutes.
    • If there is time for questions, questions from the audience will be asked using the Q&A function in Zoom or Whova or raising your hand on zoom webinar to ask a question.  Moderators will monitor these questions and lead the Q&A at the end of the presentation time.
    • All presentations will be recorded. Only presentations that the speakers give permission to share will be uploaded to Whova.

Lightning Presentations

    • Total length of 5 minutes
    • Total number of slides is 3
    • No questions will be taken after the presentation, but may be asked on Whova
    • Virtual presenter will share their screen using the presentation format of their choice.
    • Presentation slides should be at 16:9 widescreen resolution.
    • Save presentation slides as LastName_FirstName (e.g., Smith_Jane.pdf).
    • All presenters must upload a copy of their slides as a backup in case of technical issues to the ECEC24 box folder.

Pre-Conference Action Items

All Presenters

  • Log into Whova and familiarize yourself with the platform prior to the conference. You should receive an email with a link to log in after the close of conference registration. Please log into Whova using your registration email. (Access to Whova will be granted after registration closes.)
    • Review your profile on Whova and add any additional information.
    • Review your talk information in Whova for accuracy.
    • If you wish to share your slides publicly, upload a PDF of your slides to your presentation slot within Whova Agenda.
    • If you wish to share your poster publicly, upload a PDF of your poster to your presentation slot within Whova Artifact Center.

Virtual Presenters

    • Review the Whova Speaker Guide.
    • Conference presentations will be given using the Zoom platform. Make sure you have the latest version of Zoom installed on the device from which you plan to present.
    • Test your microphone and webcam.
      • Consider the basics of webcam lighting for Zoom calls – make sure to have more light in front of your face than behind your head. Check out this YouTube Video for more information: Lighting for Zoom Video Calls
      • Consider using a headset with a microphone rather than your computer microphone to limit background noise and ensure you’re heard clearly.
      • Please plan to share your webcam during your presentation to create a more personal conference experience.
    • Make sure you are logged into the conference zoom at least 15 minutes before the start of the session in which you will be presenting. If you are not on time, you will risk losing the opportunity to present.
    • The ECEC24 conference team will enable you to share your slides and present from your computer. You will also be allowed to share your webcam at this time.
    • Make sure to place devices on “do not disturb” or mute computer and phone noises during your presentation.
